Sample Wedding Day Duties
Every wedding comes with its unique demands, so it is very difficult to list every duty we might cover on any given day. The lists below provide a baseline of services that we routinely execute on a typical wedding day. Our biggest priority is ensuring that anything that requires our attention is handled with professionalism and grace without having to interrupt your celebrations.

✓ Facilitate arrival and set up of hair stylists and make-up artists
✓ Organize the wedding party and ensure each member is ready when their turn comes
✓ Coordinate deliveries, or fetch food or snacks as required
✓ Ensure both sides of the Wedding Party have all of their attire, accessories, florals, etc.
✓ Coordinate flower bouquet and boutonniere delivery
✓ Coordinate photographer arrival, set up and go over any special details for photos
✓ Confirm transportation arrival time
✓ Assist partners with their attire
✓ Communicate with contact at both partners’ locations to ensure on-time departures
✓ Assist with pinning boutonnieres
✓ Communicate with transportation while wedding party is en route
✓ Maintain Elysian's Emergency Kit which includes hundreds of items that may be needed in case of emergency, illness, to touch up hair or make up, etc.
✓ Safely transport any items on behalf of wedding party between locations
✓ Act as main contact for all vendors in case of last-minute questions or change of plans; update timeline as needed

✓ We will arrive at the ceremony venue prior to guest arrival to ensure all pew markers, flowers, candles and decor are in place
✓ Confirm Marriage Commissioner and musician(s) have arrived and have everything they need
✓ Assist Marriage Commissioner and musician(s) with their sound checks
✓ Set up programs, guestbook, bubbles, petals, confetti etc.
✓ Instruct ushers on their duties, guide them to their posts and provide them with a list of VIP guests as well as their seating assignments
✓ Ensure both partners arrive and act as communication between parties
✓ Line up both sets of parties for their entrances
✓ Ensure the rings are with the appropriate party
✓ Cue music and wedding party entrance
✓ Open and hold door(s) for processional(s)
✓ Handle late guests to ensure ceremony is not interrupted
✓ Gather friends and family after ceremony for photos, if desired
✓ Gather paperwork and items (guestbook, marriage license, etc.) for safekeeping
✓ Transport necessary decor and items to Reception venue

✓ Ensure wedding party, family and photographer have water and drinks as needed
✓ Call out names and arrange members for photos to allow the photographer to work efficiently
✓ Confirm with photographer that all photos on shot list are captured
✓ Coordinate transportation between locations and maintain contact with driver(s)

✓ Check into your accommodations for you, and drop off your overnight bags
✓ Confirm all decor, table numbers, seating chart, name cards, guest book, card box, candles, etc. are all set up as discussed
✓ Set up any items that are being re-used from the ceremony
✓ Check washrooms to ensure they are clean and stocked, and set out bathroom baskets if applicable
✓ Discuss and confirm food timeline with catering staff
✓ Ensure flowers have arrived as ordered and are in place
✓ Ensure vendors have arrived and direct them to a safe-keeping area for their belongings, as well as instruct them as to where they are to sit for their meals
✓ Handle any last minute details that may come up
✓ Greet the MC, ensure they have the MC timeline and help them with their sound check before guests start entering the space
✓ Light candles

✓ Line those in Grand Entrance up in the order outlined in the MC Timeline
✓ Help guests find their seats
✓ Ensure guests are seated in a timely manner
✓ Cue MC and DJ for Grand Entrance
✓ Play song(s) for Grand Entrance and ambiance music for reception
✓ Communicate with band/DJ, photographer and videographer to give notice before key events take place (speeches, first dances, cake cutting, etc.)
✓ Ensure VIP guests are present before moving forward with any key events
✓ Prevent any issues that may arise during the event
✓ Keep venue + catering staff and MC updated for any changes to timeline that may arise
✓ Periodically ensure washrooms are still clean and stocked
✓ Handle any issues concerns about food
✓ Disperse vendor gratuities, if desired
✓ Oversee safe keeping and delivery of gifts and cards
✓ Ensure favour table or candy bar is regularly stocked
✓ Coordinate delivery and/or execution of late night snacks
✓ Coordinate transportation from reception
✓ Ensure band/DJ has proper song list for special dances
✓ Pack away decor prior to venue closure
